How to organize a Graffiti removal event

Good morning,

I would like to thank each of you for volunteering to participate to remove graffiti from Xxx (community name)! I would ask that you arrive at the hall (Address) around 9:30 am and I will brief you on what you will be doing. We don't have all the routes covered by volunteers this year so I will be sending you out to areas where I have noticed more graffiti than in other locations. I will be teaming you up with another volunteer if you are not already coming as a team. If you don't have a vehicle I can drive you out to the site and pick you up. Please bring a cell phone so you can contact me if/when needed.


This event has been very successful in the past. When we started hosting the event we were removing about 300 tags from the community - we now remove about 60 per year.This event is intended to spring clean Xxx (community name) and show people who spray paint Xxx(community name) that this type of activity will not be tolerated. The best way to stop graffiti is to constantly remove the tags. Immediate graffiti removal prevents the criminals from getting the recognition they want.  

Details on the graffiti clean-up event:

I will brief your team on what is considered public and private property, how to remove the graffiti and provide most of the tools you will require*.

Clean-up routes will be marked on a map, which you will receive when you arrive at the hall. Each route will be covered by a minimum of two volunteers. For safety purposes we require you to stay together as a team.

You will be provided with:
Gloves
Scrub pads
Paper towels
Graffiti remover

Garbage Bags
A letter from Xxx Community advising people of the event in the case you are questioned on what you are doing. 

I will be plan to provide at least one safety vest per team. If for some reason you already have a safety vest please bring it along. 
Your route will be walked, so please bring a backpack to carry your supplies and snacks or drinks for while you are out.

If you have a cell phone we recommend you bring the phone to be able to call in if there are any questions regarding the graffiti removal,  or if you require additional supplies (we can drive the supplies out to you) or the event itself.

You will be removing graffiti from public property only. This includes street poles, park garbage bins, street signs, etc. We will go over these details when you check in for the event. If graffiti is too high, on park equipment, or on private property (private lots, Canada Post boxes, utility boxes, etc.) you will record the graffiti and we will report the graffiti to the City following the event. You will be supplied a form for reporting the graffiti that was not removed and I will report the tags after the event.
We request that you tally the graffiti you remove, which allows KCA to have a record of how much graffiti we remove each year. Every year we see a decrease in the tags to be removed so our efforts have been very effective! 
If you encounter any needles while out please do not pick them up. Please identify the location on your map and we will report the needle to 311 when you return.

This event will run rain or shine, please come dressed appropriately.
Snacks and water will be provided. I will be going to Tim Horton's to pick up donuts, muffins and coffee. Please let me know if there is anything specific you would like and I will pick it up for you!

Once you have covered your route you will return to the hall to check in and return your remaining supplies.
